Righto Tax for Trades · HVAC engineers
Tax, CIS and Making Tax Digital for self-employed HVAC engineers
Most HVAC engineers split their work between installs and service. Installing a complete air conditioning or ventilation system in a building is inside CIS, while servicing and replacing parts are outside. Making Tax Digital counts every payment, maintenance contracts included, before any deduction.

When Making Tax Digital starts for HVAC engineers
It depends on your qualifying income, not your trade. Qualifying income is the total of self-employment and property income before expenses (turnover), not profit.
| Qualifying income | On your tax return for | Making Tax Digital |
|---|---|---|
| Over £50,000 | 2024-25 | Applies since 6 April 2026 |
| Over £30,000 | 2025-26 | Starts 6 April 2027 |
| Over £20,000 | 2026-27 | Starts 6 April 2028 |
Once you’re in, you send HMRC a quarterly update by 7 August, 7 November, 7 February and 7 May, then a tax return after the year ends. MTD for Income Tax does not change how tax is paid or the payment due dates.

CIS for HVAC engineers
CIS covers installing systems of heating, ventilation and air conditioning in a building, and HMRC says a complete air conditioning installation is within the scheme. Repairing, servicing, maintaining, altering or extending a system is outside, and so is replacing parts, such as a burned-out fan motor. Built-in refrigeration such as a cold store, and building environmental controls, are covered when they finish building work. A contract that mixes service work with an installation or other building work brings every payment under it into CIS.
Usually inside CIS
- A complete air conditioning system in a building
- Ventilation that brings in fresh air or removes fumes and dust
- Replacing a whole system
- Built-in cold stores fitted as part of building work
- Installing building environmental controls
Usually outside CIS
- Servicing and maintenance
- Replacing a fan motor or other part
- Extending an existing system on its own
- Free-standing refrigerators
- Supplying or delivering units and ductwork only
When CIS applies, a contractor deducts 20% if you’re registered for CIS, 30% if you’re not, and nothing if you have gross payment status. To work out a CIS deduction, the contractor starts with the gross invoice and takes away what the subcontractor paid for VAT, consumable stores, fuel (except for travelling), plant hire, manufacturing or prefabricating materials, and materials; the CIS rate is then deducted from the amount left.
Before you join Making Tax Digital, over-deducted CIS is claimed back through your Self Assessment tax return. Once you are in Making Tax Digital, HMRC adds your CIS deductions to your tax return, and any refund is requested separately through HMRC online services. Either way, the sooner after 5 April the return is filed, the sooner HMRC can repay you.

Costs HVAC engineers usually claim
The test for every cost is whether it was for your business. If something is partly personal, only the business part counts.
| Cost | How it’s treated |
|---|---|
| Indoor and outdoor units, ductwork, pipe and refrigerant for jobs | Materials for the work you sell. On a covered supply-and-fit job, show the equipment cost on your invoice, because the deduction is worked out on the rest. |
| Recovery machine, vacuum pump, gauges and leak detector | Equipment you keep and use in the business. Repairs to it are a running cost. |
| F gas company certification | GOV.UK says a business, including a sole trader, must be certified to install, repair, maintain or decommission this equipment for others. The fee is a cost of running your trade. |
| F gas and refrigerant refresher courses | Allowed when they keep skills you already use up to date. Training to start a different trade is not. |
| Job and service-record software | A subscription or renewing licence is a running cost. |
| Safety boots, gloves and overalls used only for work | Protective clothing counts. Work trousers and hoodies do not, even if you only wear them on jobs. |
| Public liability insurance | Any insurance policy for your business is allowable. |
| Mobile phone | The business share of calls and data only. |
Your van, tools and kit
Most HVAC engineers drive between customers’ buildings in a van carrying gauges, a vacuum pump, a recovery machine and refrigerant, so trips to each site are usually business travel. A long install at one site, day after day, can start to look like commuting, so keep a note of where you worked. Tools, test kit and the van are business equipment. F gas rules add a cost of their own: each engineer needs their own qualification, even when working for someone else, and the business needs certification to work on other people’s systems.
From 2024-25 the cash basis is the default for sole traders and partnerships without corporate partners, with no turnover limit; traditional (accruals) accounting is an opt-out. Under the cash basis, the cost of equipment bought to keep and use in the business, such as machinery, computers and vans, is claimed as a normal allowable expense rather than a capital allowance. Cars are different: they go through capital allowances.
Simplified expenses for cars and goods vehicles (vans) from 6 April 2026: 55p a mile for the first 10,000 business miles, then 25p; motorcycles 24p. Once used for a vehicle you must keep using it for that vehicle, and it cannot be used for a vehicle already claimed through capital allowances.
Answers for HVAC engineers
- Does CIS apply to repairs and maintenance work?Yes for repairs to buildings, alterations and decorating, on new and old property. Repairing or servicing heating, wiring and plumbing systems alone is not.
- What work is covered by CIS?CIS covers most building, civil engineering, installation and decorating work. What is in and out for electricians, plumbers, scaffolders and carpet fitters.
- Does CIS apply to plumbers and heating engineers?CIS covers installing whole heating and water systems and fitting kitchens and bathrooms. A boiler swap, extra radiator, repair or service alone is outside.
- Does CIS apply to materials?CIS is not deducted from materials you buy yourself, VAT, hired plant or consumables. How the contractor works out the deduction, with a worked example.
- Does CIS apply to work for homeowners? No. Homeowners paying for work on their own home are not CIS contractors, so nothing is deducted. When a private client does bring in CIS, and paying the tax.
- Does Making Tax Digital apply to CIS subcontractors?Yes, if you are a sole trader. CIS pay counts before deductions and costs, so £25,600 in the bank can mean MTD from 6 April 2027. How CIS works inside MTD.
- Is my turnover before or after CIS deductions? Before. Your turnover is your full pay before CIS deductions, tested for Making Tax Digital and VAT. The gross payment status test also takes off materials.
- Can I claim my van as a business expense?Yes. Sole traders claim a van with the flat mileage rate, 55p a mile in 2026-27, or with actual costs plus the van's price. How each works and the switch rules.
Questions people ask
Is a new air conditioning system a CIS job?
Yes, when you install a complete system in a building for a contractor. HMRC says complete installation is within the scheme, but replacing parts is not.
Does a contractor take CIS off a maintenance contract?
Not if the contract is only for servicing and maintenance, which HMRC’s CIS manual treats as outside the scheme. If the same contract also includes installing a system or other building work, every payment under it is covered.
Is fitting a cold room covered by CIS?
A built-in cold store fitted as part of building work is covered, because HMRC lists it among the operations that finish a construction project. Free-standing refrigerators are not.
Can I claim my F gas company certification?
Yes, if you already work on this equipment. GOV.UK says businesses, including sole traders, need certification to install or service it for others, so the fee is a cost of running the trade.
